How can we help?

Clear, step-by-step answers on running attendance, leave and payroll in Mauritius with TimePay.

Getting started

Set up your account and company in minutes.

How do I start using TimePay?

Press Start free trial on timepay.pro and create your account. Then log in, open Companies and add your company, open Employees and add your staff, and you are ready to record attendance and run your first payroll.

The four steps are: set up once, record attendance every day, generate payslips every month, then approve and download your MRA files.

Which company details do I need to enter?

The legal name, address, your MRA Employer number (ERN) and your business registration number (BRN). The ERN and BRN are needed to prepare your MRA files. Also set the weekly hours (normally 45) and the pay period.

Can my pay period start on a day other than the 1st?

Yes. On the company page, under Pay period, choose Calendar month (1st to the last day) or pick a start day such as the 21st. The period then runs to the 20th of the next month and the end date is worked out for you.

Are the Mauritius tax and contribution rates already set?

Yes. PAYE, CSG, NSF, Training Levy and PRGF are pre-filled with the current rates under Statutory rates. You only need to change them if MRA changes a rate.

Is there a video that shows me how everything works?

Yes. Once you log in, a how-to video and the Employer Guide (PDF) are at the top of your dashboard. They walk you through every step from adding your company to uploading the MRA files.

Employees and salaries

Add staff, salaries, allowances, joiners and leavers.

How do I add an employee?

Open Employees and press Add employee. Enter the first and last name, the National ID (NIC) or passport number, the date joined and whether the employee is full-time or part-time. Then open the employee and add the Compensation: the basic monthly salary and the date it starts.

Why does every employee need a NIC or passport number?

MRA files cannot be created without it. If a number is missing, TimePay warns you before you download a file, for example "No NIC for Mary Glen", so you can fix it first.

How do I add allowances such as transport or meals?

On the employee page, add the allowance under Compensation and say whether it is taxable. Tick Overtime eligible if the employee is paid overtime.

What happens when someone joins or leaves in the middle of a month?

Enter the real date joined or date left. TimePay pays only the working days in between, so you do not calculate anything by hand.

We started TimePay in the middle of the year. What should we do?

On each employee page, open Opening balances and enter what was already paid earlier this year: salary, tax and bonus. This keeps the PAYE and the end-of-year bonus correct.

Attendance and shifts

Clock-in methods, shifts, lateness and overtime.

How can my staff clock in and out?

You can mix four methods: fingerprint, face or card devices; the Scanner App on an Android phone or tablet using NFC cards; the employee's own phone with GPS clock-in; or manual entry by you under Attendance.

How do shifts work?

Under Attendance, Shifts, create the working hours (for example 8:00 to 17:00) and assign them to employees. You can set different start and finish times for different weekdays. If you set nothing, TimePay uses standard hours.

How is overtime calculated?

Hours above 45 in a week are paid at 1.5 times. Sundays and public holidays are paid at 2 times, and 3 times after normal hours on a public holiday, following the Workers' Rights Act.

What does TimePay do about lateness and absences?

It records late arrivals and early departures every day. Unexplained absent days are unpaid. Late deductions apply only if you switch that option on.

A scan is missing. How do I correct it?

Open Attendance, Overview before running payroll and add or correct the clock event manually. Check this every week so nobody loses pay by mistake.

Leave and public holidays

Requests, approvals and holiday pay.

How do employees request leave?

From My Leave, on their phone or computer. You see the request and press Approve or Reject.

Is leave paid or unpaid?

Paid leave such as annual and sick leave is paid normally. Unpaid leave reduces the salary. The standard leave types and yearly entitlements under the Workers' Rights Act are already set up, and you can change them to suit your sector.

How are public holidays handled?

Open Attendance, Public holidays and check the list. Add any extra day your business closes. Work on a public holiday is paid at the higher rate automatically.

Payroll and payslips

Generate, check, approve and pay.

How do I run the monthly payroll?

Open Payroll Runs and press Generate payslips. Choose the company; the current pay period is already filled in. Press Generate and TimePay creates a payslip for every employee. Open the run, check each payslip, then press Approve. After the bank payment, mark the run as Paid.

Can I change a payslip after approving it?

No. An approved payslip is locked because it is used for your MRA reports, so check carefully before pressing Approve. Any warning appears at the top of the run.

What deductions and contributions are on a payslip?

Employee deductions include PAYE, CSG and NSF, plus a late deduction if you switched it on. Employer contributions include CSG, NSF, Training Levy and PRGF. Payslips show all the items required by the Workers' Rights Act.

How do I give payslips to employees?

Open any payslip to print it or download a PDF, or email it. Employees also see their own payslips under My Payslips.

How does the end-of-year bonus (13th month) work?

In the Generate payslips form, use the End-of-year bonus option. Choose Final to pay the full bonus owed, normally in December, or Advance to pay 75% of the expected bonus earlier in the year. TimePay works out the tax and CSG and shows the bonus on its own line on the payslip.

We pay salary on the 28th. What about the last days of the month?

TimePay pays the remaining days in advance. Next month, if the employee was absent on one of those days, the amount is taken back automatically.

MRA reports

Monthly and year-end files ready to upload.

Which MRA files can TimePay prepare?

PAYE / CSG / NSF (PACO), PAYE only, PRGF, and the year-end files for employees and employers.

How do I download my MRA file?

Make sure the month's payroll is approved. Open the MRA reports for the company, choose the month, enter the declarant details (name, email and a mobile number starting with 5), then download the file you need and upload it on the MRA portal.

TimePay shows an error before the download. What should I do?

Fix the item on the employee page, for example a missing NIC, and download again. A file with errors would be rejected by MRA, so TimePay stops you first.

Plans, team and security

Manage your plan, users and permissions.

How do I upgrade my plan?

Open My Plan, choose a plan and pay by card or PayPal. It switches on as soon as the payment is confirmed. You can also ask for a switch and wait for approval.

Can I give my accountant or HR person access?

Yes. Under Users, invite them and give them a role. Roles decide who can see salaries, approve payroll or only view attendance.

Can I see who changed what?

Yes. The Audit Log shows who changed what, and when.
